Form Feed Settings Guide

Fluent Forms Google Sheet Connector PRO – Form Feed Settings

After successfully completing the Google integration using your preferred method and configuring the necessary permissions, the next step is to set up a Form Feed. A Form Feed connects one specific Fluent Form to a Google Sheet, and controls exactly which fields are synced, how they’re formatted, and when they’re sent.

This guide walks through the entire process from start to finish — creating your form, adding a feed, configuring every section of the Feed Settings screen, and confirming your submissions are syncing correctly.

Step 1: Create Your Fluent Form

Before setting up a feed, you need a Fluent Form to connect. From your WordPress dashboard, go to Fluent Forms → Forms, click + Add New Form, and add the fields you want (for example, Name, Email, Subject, and Message).

Create your form and add the required fields — you'll select this form when creating a new feed in the next step.

Step 2: Open the Form Feeds Tab

Once your form is ready, go to Fluent Forms → Google Sheet in the left sidebar, then click the Form Feeds tab. If you haven’t created any feeds yet, you’ll see an empty Sheet Sync Feeds screen with a single button to get started.

Click + Add Form Feed to start connecting a Fluent Form to Google Sheets.

Step 3: Create a New Feed

Clicking + Add Form Feed opens the Create Sheet Sync Feeds panel:

  1. Enter a Feed Name (for example, “New Feed 1”) — this just helps you identify the feed later, especially if a form has more than one.
  2. Select the Form you want to connect from the dropdown (for example, “Contact Form”).
  3. Click Submit to create the feed.

Enter a Feed Name, select the form you want to sync, and click Submit to create the feed.

Step 4: Manage Your Feed List

After creating a feed, you’ll land back on the Sheet Sync Feeds screen, now showing your feed in a table with the following columns: Form ID, Feed Name, Form Name, Timestamp, Actions, Spreadsheet Connected, and Status.

  • The eye icon lets you view the form connected to that feed.
  • The pencil icon opens the full Feed Settings screen so you can edit it (covered in the sections below).
  • The trash icon deletes the feed permanently.
  • The Status toggle turns the feed on or off — while off, no submissions will sync to Google Sheets even if everything else is configured.
  • The Spreadsheet Connected column shows “Not Connected” until you’ve completed the Google Sheet configuration inside the feed.

Feed Settings Overview

Clicking the pencil (edit) icon on a feed opens the full Feed Settings screen shown below. This single screen contains everything you need to configure — Google Account Connection, Feed Details, Sheet Configuration, Field Sync, Conditional Logic, Header Settings, and Data Sync. Each section is explained in detail further down this guide.

The complete Feed Settings screen — every section below is explained step by step.

Google Account Connection

At the top of the page, the Google Account Connection card shows which Google account and authentication method are currently connected to this feed — for example, Existing Client / Secret Key (Auto Setup). A green Connected badge confirms the connection is active, along with the connected Gmail address.

If you see this section as disconnected, complete the Google integration step first before configuring the feed.

Feed Details

This section simply displays reference information about the feed and the form it belongs to:

  • Form ID – the internal ID of the Fluent Form this feed is attached to.
  • Feed Name – the name of this specific feed (useful if a form has multiple feeds).
  • Form Name – the title of the connected Fluent Form.
  • Timestamp – the date and time this feed was created or last updated.

Enable Manual Google Sheets Configuration

By default, this toggle is off and the plugin configures your Google Sheet automatically (covered next). If you’d rather connect to an existing Google Sheet using its own details instead, turn this toggle on — this reveals four fields (Sheet Name, Sheet ID, Tab Name, and Tab ID) where you can manually enter your existing sheet’s details. We cover exactly how to fill these in, with examples, in the Manual Google Sheets Configuration – Field Details section further down this guide.

Tip: Leave this toggle off unless you specifically need to connect an existing sheet by entering its details manually — Automatic Configuration below is easier and works for most users.

Automatic Google Sheets Configuration

This is the default and recommended way to set up your sheet. It lets the plugin automatically configure your Google Sheet and start syncing form submissions in real time.

  • Sheet Name – select your Google Sheet from the dropdown menu (e.g., “FluentForm-GSC”). If no sheet is selected, the plugin can create one for you automatically.
  • Sheet Tab Name – select which tab (worksheet) inside that spreadsheet you want to sync data to (e.g., “Sheet1”).
  • The eye icon lets you preview the sheet, and the download icon lets you download it directly — this button appears after you’ve saved your settings at least once.

Fetch Sheets

If your Google Sheet isn’t showing up in the dropdown menu — for example, if you just created a new sheet or renamed one — click the “Click here” link under Fetch Sheets to refresh and pull the latest list of accessible sheets from your connected Google account.

Select Fields To Sync

This section controls exactly which form fields get sent to your Google Sheet, and in what column order.

  • Switch between the Field List tab (your actual form fields, like Name, Email, Subject, Your Message) and the Submission Info tab (system-generated data like Submission ID, Client IP, Source URL, User Agent, Device, and User).
  • Use the Select All Fields toggle at the top to enable every available field at once as sheet columns.
  • Each field has its own toggle — turn it on to include that field as a column in your Google Sheet, or leave it off to hide it.
  • Click the pencil (edit) icon next to any field to rename how that column header appears in your Google Sheet — for example, renaming “name” to “Full Name.”
  • Each enabled field shows a Column label (Column A, Column B, Column C, etc.), which tells you exactly where that field will appear in your spreadsheet.
  • Use the drag handle (the small dotted icon on the left of each field) to drag and drop fields into a different order, which changes their column position in the sheet.

Conditional Logic

Conditional Logic lets you control when a submission should be sent to Google Sheets, based on the values entered in the form — instead of syncing every single submission automatically.

Turn on the Conditional Logic toggle to reveal the rule builder:

  • Process this feed if [All / Any] of the following match — choose All if every condition you add must be true for the submission to sync, or Any if just one matching condition is enough.
  • Field dropdown — select which form field this rule should check (for example, “Name,” “Email,” or “Submission ID”).
  • Condition dropdown — choose how the field’s value should be compared. Available options are: Is, Is Not, Greater Than, Less Than, Contains, Starts With, and Ends With.
  • Enter a value — type the value the selected field will be compared against.
  • Click the “+” button to add additional conditions to the same rule.

For example, if you only want to sync submissions where the “Subject” field contains the word “Support,” you’d set the field to Subject, the condition to Contains, and the value to Support. Any submission that doesn’t match your rule(s) will simply be skipped and won’t be added to your Google Sheet.

Tip: If you leave Conditional Logic turned off, every form submission will be synced to Google Sheets automatically with no filtering.

Header Settings

Header Settings let you control how your Google Sheet’s header row and data rows look and behave, so your spreadsheet stays organized and easy to read.

Header Behavior

  • Freeze Header – keeps the header row fixed at the top of the sheet while you scroll through entries.
  • Sheet Sorting – automatically sorts new rows in your sheet. Once enabled, choose a Sort Column (for example, “Submission ID”) and a Sort Order (Ascending or Descending).

Header Style

  • Header Appearance – toggle this on to customize the header row’s Font Style (Normal, Italic, Bold), Font Size, Font Color, and Header Background color.
  • Row Appearance – toggle this on to customize the Font Style, Font Size, and Font Color of your data rows, plus set separate background colors for Odd Row Color and Even Row Color to create an alternating striped effect.

Google Sheets Data Sync

This section lets you sync past form submissions into your connected Google Sheet — useful if you enabled the connector after already collecting entries, or if a sync was missed for any reason.

  • Sync All Submissions – syncs every submission ever received by this form.
  • Sync by Date Range – lets you pick a specific From Date and To Date, so only submissions within that window are synced.
  • Once you’ve made your selection, click Sync Entries to start the process.

Save Settings

Once you’ve configured all the sections above, scroll to the bottom of the page and click the Save Settings button to apply and store your feed configuration.

Once saved, entries submitted through this Fluent Form will be automatically sent to your connected Google Sheet in real time, formatted exactly as you configured above.

Manual Google Sheets Configuration – Field Details

If you turned on Enable Manual Google Sheets Configuration earlier, here’s exactly how to fill in each of the four fields using your own Google Sheet’s details:

  • Sheet Name – the title of your Google Spreadsheet, exactly as it appears at the top of the browser tab or the top-left of the sheet (for example, “FluentForm-GSC”).
  • Sheet ID – the long string of letters and numbers found in your Google Sheet’s URL, between /d/ and /edit. For example, in docs.google.com/spreadsheets/d/1eWFOSUGECQVmZFflEHoMrW5WISHRAKxZgmv5eKE/edit?gid=0, the Sheet ID is 1eWFOSUGECQVmZFflEHoMrW5WISHRAKxZgmv5eKE.
  • Tab Name – the name of the specific tab (worksheet) inside your spreadsheet that you want to sync data to, shown at the bottom of the sheet (for example, “Sheet1”).
  • Tab ID – the number found after gid= at the end of the Google Sheet URL. For the first tab in a spreadsheet, this is usually 0.

The screenshot below shows exactly where to find each of these four values directly inside Google Sheets:

Enable Manual Google Sheets Configuration fields (Sheet Name, Sheet ID, Tab Name, Tab ID) with an annotated Google Sheet URL showing where each value comes from
Sheet ID and Tab ID come from the spreadsheet URL, while Sheet Name and Tab Name come from the spreadsheet title and the tab label at the bottom.
Tip: Leave the Manual Configuration toggle off unless you specifically need to connect an existing sheet by entering its details manually — Automatic Configuration is easier and works for most users.

Service Account Permission

If you are using the Service Account Method to connect Google Sheets, your Google Sheet must be shared with the Service Account email address before data can sync. Haven’t set up Service Account authentication yet? See our Service Account Setting – Pro Version guide.

Inside the feed settings, a Google Sheets Connection notice displays your Service Account email address along with a Copy button, so you can quickly copy it and share your spreadsheet with that email:

  • If the Google Sheet is not shared with the Service Account email, the email address will appear in red, with a message confirming it hasn’t been shared yet.
  • If the Google Sheet is shared with the Service Account email and Editor access has been granted, the email address will appear in green, along with a “Connected Successfully” message.

You can verify your Service Account connection status at a glance using this email color indicator — no need to check your Google Drive sharing settings separately.

Before sharing, the Service Account email shows in red. After you share the sheet with Editor access, it turns green and shows Connected Successfully.

After sharing the spreadsheet with the Service Account email, click Fetch Sheets to pull it into the dropdown, select the sheet you just shared, and save the settings — the page will refresh and display the updated sharing status.

Tip: Always share the sheet with Editor access, not Viewer access — the Service Account needs Editor permission to add and update rows in your spreadsheet.

What Happens After You Save

Once your feed is saved and connected, the plugin automatically adds a header row to your Google Sheet based on the fields you enabled in Select Fields To Sync — even before your first submission comes in.

As soon as your feed is saved, the plugin creates the header row in your Google Sheet based on your enabled fields.

From here, every new submission to your Fluent Form will appear as a new row in this sheet automatically. To confirm everything is working, fill out and submit your form, then check your connected Google Sheet — you should see the entry appear within moments.

Frequently Asked Questions

Do I need to create my Fluent Form before setting up a feed?

Yes. A feed connects to a specific Fluent Form, so you’ll need to create and save your form first under Fluent Forms → Forms before you can select it while creating a new feed.

Can I create more than one feed for the same form?

Yes. You can create multiple feeds for the same form if you want to sync its submissions to more than one Google Sheet, or apply different field mappings and conditional logic to each feed.

What does the Status toggle on the feed list do?

It turns syncing on or off for that specific feed. If the Status toggle is off, submissions won’t be sent to Google Sheets even if the rest of the feed is fully configured.

What is the difference between Automatic and Manual Google Sheets Configuration?

Automatic Configuration lets you select your sheet and tab from a dropdown, or have the plugin create one for you. Manual Configuration is for advanced users who want to connect to an existing sheet by entering its Sheet Name, Sheet ID, Tab Name, and Tab ID directly.

Where do I find the Sheet ID and Tab ID for Manual Configuration?

Both come from your Google Sheet’s URL. The Sheet ID is the long string of letters and numbers between “/d/” and “/edit”. The Tab ID is the number shown after “gid=” at the end of the URL — it’s usually 0 for the first tab.

My Google Sheet isn't showing up in the dropdown — what do I do?

Click the “Click here” link under the Fetch Sheets section to refresh and pull the latest list of spreadsheets from your connected Google account. This is especially needed after creating a new sheet or renaming an existing one.

What's the difference between Field List and Submission Info?

Field List contains the actual fields from your Fluent Form, like Name, Email, and Message. Submission Info contains system-generated data about each entry, such as Submission ID, Client IP, Source URL, User Agent, Device, and User.

How do I change the order of columns in my Google Sheet?

Use the drag handle icon next to each field in the Select Fields To Sync section to drag and drop it into a new position. The Column label (Column A, B, C, etc.) updates automatically to reflect the new order.

What does Conditional Logic actually do?

Conditional Logic lets you set rules so only submissions matching specific criteria get synced to Google Sheets — for example, only syncing entries where a field contains a certain word. Choose “All” if every rule must match, or “Any” if just one matching rule is enough. If Conditional Logic is off, all submissions sync automatically.

Can I change the header row's font, color, or background?

Yes. Turn on Header Appearance under Header Settings to customize the header row’s font style, size, color, and background color, and Row Appearance to set alternating Odd Row and Even Row colors.

I connected the plugin after already collecting form entries — can I sync those older submissions?

Yes. Use the Google Sheets Data Sync section, choose Sync All Submissions or Sync by Date Range, and click Sync Entries to send past submissions into your connected Google Sheet.

Why does my Service Account email appear in red?

Red means your Google Sheet hasn’t been shared with the Service Account email yet. Copy the email shown in the Google Sheets Connection notice, share your spreadsheet with it using Editor access, then click Fetch Sheets and save your settings again — it will turn green once confirmed.

Why isn't my header row appearing in my Google Sheet?

The header row is created automatically once you save a feed with at least one field enabled under Select Fields To Sync. If it’s missing, double-check that your feed is saved, connected to the correct sheet and tab, and that the Status toggle is turned on.

What's different in the FREE version of the plugin?

The FREE version only supports Manual Google Sheets Configuration. Automatic Configuration, Select Fields To Sync, Header Settings, and Google Sheets Data Sync are PRO-only features and appear locked with an upgrade prompt.

Do I need to click Save Settings after every change?

Yes. Any changes you make across the feed settings — field selection, conditional logic, header styling, or sync options — are only applied once you click the Save Settings button at the bottom of the page.
