How to Configure Role Permissions (Access Management)

The CF7 Google Sheet Connector introduces specific custom features that empower administrators to enhance their control over Google Sheet settings access and usage.

For those who might not be familiar with WordPress Capabilities, here’s a brief overview: Capabilities serve as your permission system within WordPress. Roles are assigned specific capabilities that determine the actions and functions they are permitted or restricted from performing.

Step 1: Open Role Permissions

  • Go to Google Sheet in your WordPress dashboard.
  • Click on the Settings tab.
  • Under Settings, select the Role Permissions sub-tab.

Step 2: Understand the Two Role Settings

In this context, Role Settings have been configured for two distinct purposes:

  • Role Settings for the Google Sheet Authentication Page (Plugin Access Control).
  • Role Settings for editing the Google Sheet Settings of specific forms (Form Permissions).

Both sections display a comprehensive list of all the roles available on your WordPress site. Consequently, you can select which roles you want to grant permission for editing and make the necessary adjustments accordingly.

Step 3: Configure Plugin Access Control

Plugin Access Control controls who can access and manage the GSheetConnector plugin settings (the main plugin menu — Dashboard, License, Integration, Settings, CF7 Database, System Status, and Extensions).

  • Toggle on the roles you want to grant access to the plugin — for example, Administrator, Editor, Contributor, or Author.
  • Administrator is enabled by default and cannot be disabled.
  • Only the roles you enable here will see the GSheetConnector plugin menu in the WordPress admin panel.
Tip: Enable this option to manage Google Sheet integration for your role.

Step 4: Configure Form Permissions

Form Permissions controls who can configure the Google Sheets integration inside individual Contact Form 7 forms (the Google Sheets tab on the form editor).

  • Toggle on the roles you want to allow to configure sheet connections on individual forms.
  • Administrator is enabled by default and cannot be disabled.
  • Roles that are not enabled here will not be able to view or edit the Google Sheets tab inside any Contact Form 7 form.
Tip: Enable this option to manage Google Sheet integration for your forms.

Step 5: Save Your Settings

After enabling the roles you want for both Plugin Access Control and Form Permissions, click the Save button to apply your changes.

Once saved, the selected roles will immediately have (or lose) access to the GSheetConnector plugin menu and the Google Sheets tab inside forms, based on your configuration.

Permission Guidelines

  • Control which user roles can access the GSheetConnector plugin.
  • Allow selected users to manage Google Sheets integration settings.
  • Restrict access to sensitive features like feeds, logs, and configurations.
  • Only enabled roles will see the plugin menu in the admin panel.
  • Allow users to configure sheet connections in individual forms.
  • Manage access to the Google Sheet tab in the CF7 form editor.
  • Prevent unauthorized users from modifying form integrations.
  • Recommended: Allow only Administrators and trusted Editors.

Frequently Asked Questions

What is the difference between Plugin Access Control and Form Permissions?


Plugin Access Control decides which roles can see and manage the main GSheetConnector plugin menu (Dashboard, License, Integration, Settings, etc.). Form Permissions decides which roles can configure the Google Sheets tab inside individual Contact Form 7 forms. These are managed separately so you can, for example, let an Editor configure sheet connections on forms without giving them access to the plugin’s global settings.

Can I disable Administrator access?


No. The Administrator role is always enabled by default for both Plugin Access Control and Form Permissions, and cannot be turned off. This ensures there is always at least one role with full access to the integration.

Which roles are available under Role Permissions?


The Role Permissions screen displays a full list of all the user roles that exist on your WordPress site, such as Administrator, Editor, Contributor, and Author. Custom roles created by other plugins may also appear here.

What happens if I don't enable a role?


If a role is not enabled under Plugin Access Control, users with that role won’t see the GSheetConnector plugin menu at all. If a role is not enabled under Form Permissions, users with that role won’t be able to view or edit the Google Sheets tab inside any Contact Form 7 form.

Do I need to click Save after changing permissions?


Yes. After toggling the roles you want under Plugin Access Control and/or Form Permissions, you must click the Save button for the changes to take effect.

Which roles should I enable for the best security?


It’s recommended to allow only Administrators and trusted Editors access to both the plugin settings and form-level Google Sheets configuration, since these controls affect sensitive features like feeds, logs, and integration settings.

Is Role Permissions available in the Free version?


Role Permissions is part of the plugin’s Settings screen. Check the current plugin version badge in your dashboard (Free or PRO) to confirm which settings are available to you, as some advanced controls may be limited to the PRO version.
