Introduction
GSheetConnector for Gravity Forms Pro allows you to automatically send your Gravity Forms submissions directly to Google Sheets. By creating a Feed, you can connect your Gravity Form with a specific Google Sheet and configure which form fields should be synced.
The Feed Setting helps you manage the connection between your Gravity Form and Google Sheet. Once the Feed is configured correctly, every new form submission will be automatically added as a new row in your connected Google Sheet.
Before creating a Feed, you need to create a Gravity Form and configure the required fields. Follow the below steps to create a Gravity Form and start the Feed setup process.
Create Gravity Form
First, go to your WordPress Dashboard and create a new form.
- Navigate to Forms → New Form.
- Enter your form title and description.
- Add the required fields from the field panel on the right.
- Configure your form fields according to your requirements.
- Click Save Form.
- Publish the form on a page using the Gravity Forms block or shortcode.
After creating the Gravity Form, you can proceed with creating a Feed in GSheetConnector.
- Make sure your form fields are properly configured before creating the Feed.
- The field labels used in your Gravity Form will be mapped with the Google Sheet header columns during Feed configuration.
- Gravity Forms Google Sheet Connector Pro works with all standard Gravity Forms field types, including multi-page forms and conditional logic fields.
Important Things to Keep in Mind
- Make sure the Gravity Form is published and working correctly before creating the Feed.
- Ensure that the Gravity Forms GSheetConnector plugin is installed and activated on your WordPress website.
- Your Google Sheet connection should be completed before syncing form submissions.
- Use unique and clear field labels in your form to make field mapping easier.
- After creating and saving the Feed Settings, test your form submission to confirm that data is successfully added to your Google Sheet.
Create New Feed
After creating the Gravity Form, you need to create a Feed in GSheetConnector to connect your form with Google Sheets.
Follow the below steps to create a new Feed:
- Go to Forms → Edit your form → Settings → Emails & Actions.
- Click on Add New Section and select Google Sheet Connector Pro.
- Click on the Add New button to create a Feed.
- Enter your required Feed Name.
- Click on the Save button.
Your newly created Feed will be displayed in the Feed List.
Feed List Overview
In the Feed List, you can view all your created Feeds with the following details:
- Feed Name: Displays the name of your created Feed.
- Form Name: Shows the Gravity Form the Feed is attached to.
- Active: Shows whether the Feed is enabled or disabled.
Feed Actions
The Feed List provides different action options:
Edit – Click on the Feed Name to open and configure Feed Settings.
Delete – Click on the Delete option to remove the Feed.
Feed Status
The Feed Status toggle controls whether your Feed Settings will work or not.
- If the Feed Status is Active, your Feed configuration will work and form submissions will sync with Google Sheets.
- If the Feed Status is Inactive, your Feed Settings will not work even if the configuration is completed.
Feed Detail Settings
When you open Feed Settings, you will see different configuration options.
Integration Mode
Set the Integration Mode to Automatic to connect your Google Sheet quickly, or use Manual if you prefer to enter the Sheet details yourself.
Automatic Google Sheet Configuration
The Automatic Google Sheet Configuration option allows you to select your Google Sheet without manually entering Sheet ID and Tab ID.
Follow these steps:
- Click on Fetch Spreadsheet.
- Select your Sheet Name.
- Select your required Tab Name.
- Or click Create New Google Sheet to generate a new sheet automatically.
Manual Google Sheets Configuration
The Manual Integration Mode allows you to manually enter your Google Sheet details.
Enter the following details:
- Google Sheet Name
- Google Sheet ID
- Google Sheet Tab Name
- Google Sheet Tab ID
To get this information:
- Open your Google Sheet.
- Copy the required details from the Sheet URL and tab.
- Enter the information in the respective fields as shown in the screenshot.
Service Account Permission
If you are using the Service Account Method, your Google Sheet must be shared with the Service Account email address.
- If the Google Sheet is not shared with the Service Account email, the Service Account email will appear in red color.
- If the Google Sheet is shared with the Service Account email and Editor access is provided, the Service Account email will appear in green color.
You can verify the Service Account connection status using the email color indicator.
Select Field To Sync (Field List)
The Field List option allows you to choose which Gravity Form fields should be sent to Google Sheets.
Add Fields
- Add the fields you want to sync from your Gravity Form based on your requirement.
Change Field Order
- You can drag and drop fields to change their position.
- The field order will decide the column order in your Google Sheet.
Edit Field Name
- You can edit a field’s label before syncing it, so the column header in Google Sheets shows the name you prefer.
Merge Tags
Using Merge Tags, you can add extra data columns to your Google Sheet, such as:
- Entry ID
- Entry Date
- Form URL
Header Setting
The Header Setting option allows you to customize the appearance of your Google Sheet.
You can customize:
Header Sorting
- You can sort headers according to your preference.
Freeze Header
- Enable the Freeze Header option to keep the header row fixed while scrolling.
Colors
Customize the appearance of your Google Sheet:
- Header background color
- Odd row background color
- Even row background color
Sheet Sorting
- Choose between Ascending or Descending order for how new entries are sorted in the sheet.
After completing all settings, click on the Save button to save your Feed configuration.
Google Sheet Data Sync
This section allows you to sync existing form entries with Google Sheets.
You can use this option when:
- You want to import old form entries.
- You need to perform data-wise synchronization.
- You want to sync previously submitted entries after creating a Feed.
Using this option, you can transfer existing form entries to your connected Google Sheet.
Save Feed Settings and Test Form Submission
After completing all Feed Settings, click on the Save button.
Once the Feed Settings are saved successfully, the plugin will automatically create the header row in your connected Google Sheet using your selected Gravity Form field labels.
All selected form fields will be displayed as column headers in the connected sheet.
Test Form Submission
After saving the Feed Settings, it is recommended to test the integration.
- Open the page where your Gravity Form is published.
- Fill out the form with sample information.
- Click on the Submit button.
You will see the submitted form data automatically added as a new row in the sheet under the corresponding column headers.
This confirms that your Gravity Form and Google Sheet integration is working correctly.
Frequently Asked Questions
Why is my Gravity Form not appearing in the Feed dropdown?
Make sure you have added the Google Sheet Connector Pro section under the Emails & Actions tab of your Gravity Form and saved the form. Only forms with this section added will show up in Feed setup.
Why are my Google Sheets not showing in the Automatic Google Sheet Configuration section?
Click the Fetch Spreadsheet button again. The plugin will fetch all available Google Sheets from your connected Google account and update the dropdown list. If you have a very large number of sheets, use the Manual method instead.
Why is my Service Account email showing in red color?
A red Service Account email means that the Google Sheet has not been shared with the Service Account email address or the required permissions have not been granted.
To resolve this issue:
- Copy the Service Account email displayed in the plugin.
- Open your Google Sheet.
- Click the Share button.
- Add the Service Account email.
- Grant Editor access and save the changes.
Why is my Service Account email showing in green color?
A green Service Account email indicates that the Google Sheet has been successfully shared with the Service Account email and Editor permission has been granted. Your Feed is ready to sync data with Google Sheets.
Why are form submissions not being added to Google Sheets?
Please verify the following:
- Feed Status is Active.
- The correct Google Sheet and Tab are selected.
- The Service Account has Editor access to the sheet.
- The Feed Settings have been saved successfully.
- The required fields are added in the Field List section.
Why is my Feed not working even though I have completed the setup?
Make sure that the Feed Status is Active. If the Feed is Inactive, it will not process form submissions even if all settings are configured correctly.
Can I sync only selected form fields to Google Sheets?
Yes. The Field List option allows you to add only the specific fields you want to send to Google Sheets, and skip the rest.
Can I change the order of fields in Google Sheets?
Yes. You can drag and drop the fields in the Field List. The field order determines the column order in the connected Google Sheet.
Can I edit the field names before syncing data?
Yes. You can edit a field’s label in the Field List, which will be displayed as the column header in Google Sheets.
What happens after I save the Feed Settings?
After saving the Feed Settings, the plugin automatically creates Google Sheet column headers using your selected form field labels. New form submissions will then be added as rows under those headers.
Can I sync old form entries to Google Sheets?
Yes. The Condition & Synchronization section allows you to sync previously submitted form entries to your connected Google Sheet. Note that if the form has no entries, the Sync button will not appear.
Can I add Entry ID, Entry Date, or Form URL as extra columns?
Yes. Use the Merge Tags option in the Field List section to add Entry ID, Entry Date, and Form URL as additional columns in your Google Sheet.
Is Gravity Forms Pro required to use this integration?
No. GSheetConnector for Gravity Forms works with the standard Gravity Forms plugin. You don’t need Gravity Forms’ own paid add-ons to sync entries to Google Sheets — only the free or licensed Gravity Forms core plugin is required.
